Scaling Workers’ Compensation with Document Automation

Objective

A national workers’ compensation outcomes provider partnered with NLP Logix to automate the identification and routing of high-volume medical and claims-related documents, including CMS-1500 and UB04 billing forms. The organization needed a secure, scalable solution that could increase efficiency without compromising accuracy.

Challenge

Prior to automation, employees manually reviewed and routed more than 10,000 patient and claims forms per month, determining the correct destination based on identifiers such as name and date of birth. Key challenges included:

  • Diverse document types, including typed and handwritten forms
  • High risk of false positives, where misrouting workers’ compensation records could impact outcomes
  • Manual bottlenecks limiting scalability
  • Strict privacy and compliance requirements for sensitive healthcare and workers’ compensation data

Solution

NLP Logix implemented an AI-powered document recognition and automated routing system designed specifically for workers’ compensation workflows. The solution included:

  • Optical Character Recognition (OCR) to convert scanned medical and claims forms into machine-readable text
  • Fuzzy matching algorithms to compare patient and claimant identifiers against internal records
  • Confidence scoring logic to determine automated routing versus human review
  • Human-in-the-loop exception handling for low-confidence cases

Each document received a confidence score that determined whether it could be automatically routed or required manual validation, ensuring both speed and accuracy.

Results

  • Increased document processing capacity to 20,000+ records per month
  • Achieved over 90% automated routing accuracy at launch
  • Sustained routing success rates above 85% as use cases expanded
  • Reduced manual workload and accelerated workers’ compensation document workflows
